1. About the congress
The Craiova International Medical Students' Congress (CIMSC) is an annual scientific event organised in Craiova, Romania by the Asociația Studenților Mediciniști din Craiova. The congress provides conferences, workshops and networking opportunities for medical and healthcare students. These Terms govern your access to the cimsc.ro website and your participation in the congress and its associated activities.
By creating an account, purchasing a package or otherwise using the platform you agree to be bound by these Terms and by our Privacy Policy and Cookie Policy.
2. Eligibility & account
- Participants must be medical, dental, pharmaceutical or other healthcare students of legal age (16+; under-18s require a parent or guardian to accept these Terms on their behalf).
- You agree to provide accurate, up-to-date information when registering.
- You are responsible for keeping your credentials confidential. Any activity from your account is your responsibility unless you have notified us of a compromise.
- One account per participant. Sharing accounts is not permitted.
- You must confirm your email address before you can log in. Confirmation links expire after 24 hours; you can request a new one if needed.
3. Booking and payment terms
- Prices are displayed in EUR (with RON equivalents where applicable) and include any taxes due. Each package page lists what is and what is not included.
- Card payments are processed by Netopia Payments. We do not see or store your card details — only an order reference, status, amount and timestamp. Cash payments are accepted for specific packages as indicated; cash orders that remain unpaid after 14 days are automatically cancelled.
- A booking is confirmed only once payment is successfully captured (or, for cash orders, once the amount is received and confirmed by the organisers).
- Invoices are issued automatically through SmartBill using the identity details on your account and sent to the email address associated with your account. Please ensure your billing details are correct before paying.
- Workshop and conference seats are limited; access is allocated on a first-come-first-served basis once payment is captured.
4. Cancellation and refund policy
These thresholds are the standard policy. They may be adjusted in writing by the organising committee for individual cases (medical emergencies, visa refusal, etc.).
- 14-day right of withdrawal: Under EU consumer law (Directive 2011/83/EU), you may withdraw within 14 days of placing your order and obtain a full refund, provided the event has not yet taken place. Refunds are issued via the original payment method within 14 days of the withdrawal notice.
- More than 30 days before the event: 80% refund on cancellation.
- Between 14 and 30 days before the event: 50% refund on cancellation.
- Less than 14 days before the event: non-refundable (force majeure excepted).
- Event cancelled by CIMSC: participants are entitled to a full refund or, at their choice, transfer to the next edition.
- You can request self-service cancellation through your orders page while the order is still in a cancellable status (pending / open / reserved). After the order is approved, please email [email protected] — refunds for approved orders must be processed by the organisers.
5. Prohibited conduct
- No unauthorised access attempts, scraping, or interference with the platform.
- No harassment, discrimination, hate speech, or any unlawful behaviour at the event or online. The CIMSC Code of Conduct (communicated separately) applies in all venues, including chat channels and social events.
- No re-sale or transfer of participation packages without prior written consent from the organisers.
- No infringement of intellectual property rights of CIMSC, speakers, sponsors or fellow participants. Photographing or recording sessions without consent is prohibited.
- No submission of abstracts containing falsified data, plagiarism, or material covered by an undisclosed conflict of interest.
Violations may result in suspension of your account, removal from the event without refund, retention of any submitted abstracts being withdrawn from the programme, and legal action where appropriate.
6. User-generated content (abstracts, submissions)
When you submit an abstract or scientific contribution, you confirm that the content is your own (or that you have the right to submit it on behalf of co-authors) and that it does not infringe third-party rights. You grant CIMSC a non-exclusive, royalty-free licence to display the abstract on the platform and in conference materials, with attribution. You retain copyright on the underlying work.
7. Intellectual property
The CIMSC name, logos, text, images, talks and event materials are the property of CIMSC or used under licence. Reproduction or commercial use without prior written consent is prohibited.
8. Liability
To the extent permitted by Romanian law, CIMSC's liability for indirect, incidental or consequential damages arising from use of the platform or attendance at the event is excluded. Nothing in these Terms limits liability that cannot be limited by law (including for death, personal injury or gross negligence). Participants are responsible for their own travel insurance, health insurance and personal belongings.
9. Force majeure
CIMSC is not liable for delays or failure to perform when caused by events beyond reasonable control, including natural disasters, strikes, government orders, war, public-health measures, or other events of force majeure. In such cases, the organisers will use reasonable endeavours to reschedule the event or refund affected participants pro-rata.
10. Governing law and disputes
These Terms are governed by the laws of Romania. Disputes will be submitted to the competent courts of Craiova, Romania, unless mandatory consumer protection law dictates otherwise. EU consumers may also use the EU Online Dispute Resolution platform or the Romanian alternative dispute resolution channels (ANPC SAL).
11. Changes to these Terms
We may amend these Terms from time to time. Material changes are notified by email at least 14 days in advance, or sooner if required to comply with law. The current version is always available at /terms; the “Last updated” date at the top of this page is authoritative.
